Japan Genealogy Connect is in the business of creating family trees on behalf of its customers.
As part of our social responsibility, we have established this Personal Information Protection Policy regarding the handling of personal information, including specified personal information, entrusted to us by our customers and employees, and will fulfill this responsibility under strict control.
Our Policy
Personal information refers to information that can identify a specific individual, such as a customer’s address, name, age, telephone number, e-mail address, picture images, call voice files, questions, and consultation details.
In order to carry out our business purposes, we will obtain, use, and provide personal information in an appropriate manner after clarifying the purpose of use, and will take measures to ensure that the personal information obtained is used only within the scope of the purpose of use and is not used for any other purposes. In relation to the provision of our services, we will use personal information only to the extent necessary to achieve the following purposes.

When outsourcing part or all of the personal information entrusted to us, we will select and contract with companies and individuals that meet our management standards, and take appropriate measures and controls.
We will take sufficient security control measures and countermeasures to prevent leakage, loss, damage, or destruction of personal information, and will take corrective measures.
We will respond to requests for disclosure of personal information from the person to whom we have entrusted the personal information.
We will establish a consultation desk to respond promptly and in good faith to any complaints.
We will periodically review our personal information management system, and will work to continually improve it.

Personal information that we obtain directly from the person in question mainly refers to information provided by the person who has given his or her consent to our use, such as in a consent form, consent document, or by clicking the “Confirm Consent" button on the Web site.
The items of information we collect and the purposes for which it is used are described below. As for personal information obtained by this method, we will inform you without delay when disclosure is necessary as is your right. For details, please refer to the disclosure section. (Please note that we may not be able to disclose some or all of the disclosed items due to exceptional circumstances.)

Purpose of use: To provide service guidance such as explanations of business content and to perform requested services.

Purpose of use: To determine whether to accept or reject applicants for employment.

4. Personal Information Other than That Obtained Directly from the Individual
Personal information obtained by methods other than those described in 3. above refers mainly to personal information received as necessary to perform part or all of the work requested by our clients and other parties. The purposes of use are as follows

Purpose of use: To provide customers with explanations of our business activities and other service information.
Family Registers, etc. Collected from Local Governments Based on Requests
Purpose of use: To perform the requested services

Purpose of use: Accurate understanding of the content of inquiries, etc., and for future service improvement
5. Disclosure to Third Parties
We do not provide personal information to third parties unless we have the consent of the individual or there is an exception to the law.
Similarly, we do not process personal information or provide it to third parties, except with the consent of the individual or in cases where there are exceptions to the law.
6. Outsourcing
We may outsource part or all of the handling of personal information.
7. Retention Period of Personal Information, Disposal, etc.
The personal information we receive will be retained for the legally required retention period. After that, we will strictly dispose of the information and destroy the data.
8. Implementation of Security Control Measures
We have implemented organizational, personnel, physical, and technical security control measures to protect personal data.
(1). Establishment of Basic Policy
The Company has established and published a “Personal Information Protection Policy" to ensure that personal information is handled appropriately in compliance with the Personal Information Protection Law and related laws and regulations.
(2). Establishment of Rules for the Handling of Personal Data
Based on the above “Personal Information Protection Policy," the Company has established regulations that stipulate basic matters concerning the handling of personal information and the necessary and appropriate measures to be taken for the safe management of personal data as follows.
(3). Organizational Safety Management Measures
The Company has appointed a general manager responsible for the security control of personal data, a department to assist the general manager, and a manager in the department handling personal data, and has established a system to take measures to prevent leakage, loss, or damage, depending on the nature of the business, as well as to educate personal data handlers and report incidents of information leaks, etc. In addition, the Company has established a system to ensure that personal data handlers are properly trained in the handling of personal data.
In addition, the department handling personal data prepares a handling ledger and other records as a means of confirming the status of the handling of personal data.
(4). Personnel Safety Control Measures
At the time of employment contracts for employees, etc., confidentiality agreements pertaining to personal data are concluded, and even after employment, the personal data manager provides necessary and appropriate education and training to employees, etc., regarding the safe management of personal data.
(5). Physical Security Control Measures
In order to prevent unauthorized entry or removal of information, the Company implements access control, keeps documents and data containing personal data locked, encrypts and password-protects them, and secures equipment that handles personal data to prevent theft or loss.
(6). Technical Safety Control Measures
Measures are taken to control access to information systems that handle personal data, to identify and remember accessors, to prevent unauthorized access, to prevent information leaks by encrypting and password-protecting data, and to monitor information systems.
(7). Grasping the External Environment
In cases where personal data is handled in foreign countries as a result of outsourcing, etc., the Company shall understand the systems, etc. related to personal information in such foreign countries and take measures such as periodic confirmation of the implementation status of safety control measures at the outsourced company, etc.

Disclosure of Retained Personal Data
1. Request for Disclosure, etc. of Retained Personal Data
Requests for disclosure, etc. of retained personal data shall be made in accordance with the provisions of the Act on the Protection of Personal Information (hereinafter referred to as the “Personal Information Protection Act") and JISQ15001. The disclosure, etc. of retained personal data refers to the disclosure of retained personal data, notification of the purpose of use, correction, addition, deletion of retained personal data, suspension of use, deletion, suspension of provision to third parties, and disclosure of records of provision to third parties, as stipulated in the Act on the Protection of Personal Information (hereinafter “Personal Information Protection Act") and in JISQ15001.
The personal information that is the subject of your request is limited to personal information for which we have the authority to disclose, etc.

Requests for disclosure, etc. of retained personal data should be made directly to our Personal Information Consultation Desk.
The following (2) through (5) describes the procedures for requesting disclosure, etc. to our Personal Information Consultation Desk.
(2)Documents to Be Submitted When Requesting Disclosure, etc.
Please fill out the “Personal Information Disclosure Request Form" with the necessary information such as disclosure of retained personal data, notification of purpose of use, correction, addition, deletion of retained personal data, suspension of use, elimination, suspension of provision to a third party, etc.

(3) Fees for Requests for Disclosure of Retained Personal Data and Notification of Purpose of Use
A fee of 3,000 yen (excluding tax) will be charged for each request for disclosure of retained personal data and notification of purpose of use. Please be sure to enclose 3,000 yen (tax not included) in stamps or a postal money order when you send the Personal Information Disclosure Request Form or the Notification of Purpose of Use Request Form by mail.
*“Postal fixed postal money order" is issued by the post office. The customer is responsible for the handling charge for issuing the postal money order.
(4) Persons Who Can Request Disclosure, etc.
The following persons may request disclosure, etc.
- (i) The person in question (the person identified by the personal information subject to disclosure, etc.)
- (ii) The agent (a person authorized by the principal or a legal representative such as a person with parental authority)
(5)Documents to Verify the Identity of the Person Making the Request or His/Her Agent
When making a request for disclosure, etc., we will ask you to submit documents to verify that the person making the request is the person in question or a representative. (Letter of attorney, etc.)
(i) If the person making the request for disclosure, etc. is the principal, please attach one of the following items
- A copy of a driver’s license, a copy of a health insurance card, or a copy of a certificate of residence (issued within the last 3 months)
- A copy of student ID or student handbook
- A copy of alien registration card
- National identification card
* Please black out any sensitive information such as permanent domicile.
(ii) When the person requesting disclosure, etc. is a representative
One of the above documents and a letter of attorney from the person in question
(Please submit the seal stamped by the principal and a certificate of seal registration of the relevant seal. If the proxy is a legal representative such as a person with parental authority, please submit a document that shows the relationship between the proxy and the principal).
If the proxy is a lawyer or other qualified person, please provide the name and registration number of his/her occupation.

2. Others
We reserve the right to change our personal information protection policy, disclosure procedures, etc. without prior notice in order to further improve our efforts to protect personal information or to comply with changes in laws, regulations, or other standards.
